When sending out bulk e-mail messages to a large number of recipients it is important to make the message appear as addressed personally to each recipient. To create such effect 2 different approaches are possible:
- Create the message personally for each recipient by manually adding his or her details to the text. This approach is time-consuming and requires paying much attention to the correctness of the entered data.
- Add special personalization variables to the text of the e-mail messages which will be automatically replaced with each recipient's personal details before the e-mail transmission. This approach allows to send an e-mail message to all recipients at once without having to enter everyone's personal details into the text. In this case the time saving ratio is very high, besides the possibility of mistakenly entered recipient data is virtually excluded as they are inserted automatically.
In order to send a bulk e-mail to a large number of recipients with personal details automatically added into its text, use the functionality provided by WebAsyst Contacts and WebAsyst Mail.
- Open WebAsyst Contacts and create contacts for all recipients by adding all their relevant information: name, e-mail address, mobile phone number, company name etc. You can even add fields that are not there in the standard setup, e.g. issuance date of the insurance policy or car model.
- Combine the contacts into lists for more convenient transmission of bulk e-mails. For instance, you may create contact lists "Customers", "Contractors", "Newsletter subscribers", "Employees" etc.
- Open WebAsyst Mail and create a new message.
- Click on the "Lists" link under the "To" field and select the contacts this message is supposed to be sent to. Once you have selected the contacts, click on "Close" to hide the list selection window.
- Make up the text of your message using the HTML text editor. Instead of personal recipient details personalizing variables should be added. After you choose to send the message, all variables will be replaced with the appropriate values of each contact.
